Executive Assistant & Office Manager

We are seeking a self-starting, motivated and passionate individual who takes initiative to assist with managing the workload of an Executive Director and our Sydney Office

The Position

We are recruiting a highly organised yet flexible Executive Assistant & Office Manager to support our Executive Director of People & Safety as well as the operational requirements of our Sydney and Adelaide offices.

This role requires the traditional ‘EA’ support including calendar, travel & expense management, but also expands to supporting the day to day running of our Sydney and Adelaide offices. You will be the key lead in both office, state and national event management.

Key Duties

  • Complex and fluid calendar management for the Executive Director
  • Monitoring email correspondence, fielding inquires and requests, and escalating urgent matters for the Executive Directors attention.
  • Producing correspondence, memo’s, presentations and reports both of a general and confidential nature on behalf of the Executive Director
  • Preparing meeting agendas, processing travel & expense claims, ordering equipment
  • Booking domestic & international travel and preparing itineraries
  • Event Management including regular coordination of executive level meetings, as well as larger functions including the annual “Star Awards”, team/sector conferences, “Great Work Days”, end of year functions etc
  • Providing leadership and support to the Receptionist, and coordinating the office facilities
  • Coordinating and overseeing the day to day management of the Office & Facilities

The Person

  • A ‘forward thinking’ individual with minimum 5 years’ experience within a similar role.
  • Excellent verbal and written communication skills with the ability to manage correspondence on behalf of the Executive Director
  • Organisational skills with efficient time management and task prioritisation.
  • As well as being highly confidential, we require someone who utilises discretion, tact and diplomacy with ease regarding sensitive issues.
  • Advanced knowledge of Microsoft Office packages such as Word, Excel, Outlook and PowerPoint.
  • Ability to pinch hit and provide support for other members of the Executive team as required
